Privacy Notice

This notice explains how Fenda Solutions Ltd, trading as English Willow ("we", "us", "our"), collects and uses personal information when you visit this website or contact us through it. We take your privacy seriously and only use your information to do what you've asked us to do.
1. Who we are
Fenda Solutions Ltd is a private limited company registered in England and Wales (company number 13198329), with its registered office at Manor Farm, Twyford Road, Twyford, Banbury OX17 3JL. We are the data controller for personal information collected through this website.

2. What we collect, and when
When you submit the valuation form (landowners)
We collect: your name, email address, phone number (if provided), location, an indication of how many trees you have, any photographs you choose to share, and any notes you add to the form.
When you submit the supply enquiry form (bat-makers)
We collect: your company or workshop name, your name, email address, location, volume requirements (if provided), and any specifications you add.
When you email us directly
We receive whatever information you choose to put in the email — typically a name, an email address, and the content of your message.
Information collected automatically
Like most websites, our hosting provider records standard server logs that may include your IP address, browser type, and the pages you visit. This is used solely to keep the site secure and operational.
3. Why we use it (lawful basis)
We use your information for one of two reasons:
- To respond to your enquiry and progress a possible business arrangement. The lawful basis is "legitimate interests" — namely, our interest in answering people who contact us, and yours in receiving a reply. Where an enquiry leads to a contract (for example, valuing or buying your willow, or supplying clefts), we then process your information to perform that contract.
- To meet legal obligations. If we enter into a transaction with you, we are required to retain certain records (for example, for tax and accounting purposes) under UK law.
4. Who we share it with
We do not sell your personal information. We only share it with the small number of service providers we rely on to run the business:
- FormSubmit — the service that processes the website's contact forms and forwards them to our inbox. Form submissions pass through FormSubmit's servers, which are based in the United States. FormSubmit acts as a data processor on our behalf.
- Our email and hosting providers — used to receive and store messages and to host this website.
- Professional advisers — accountants, legal advisers and similar, where genuinely necessary.
Where personal data is transferred outside the UK (for example, to FormSubmit in the US), we rely on appropriate safeguards recognised under UK GDPR, including the UK Extension to the EU–US Data Privacy Framework or Standard Contractual Clauses where applicable.
5. How long we keep it
If your enquiry doesn't lead to a transaction, we'll usually delete it within 24 months. If we do business together, we keep the records for as long as we're required to under UK accounting and tax law (currently six years after the end of the relevant tax year), then delete or anonymise them.
6. Your rights
Under UK GDPR, you have rights over your personal information. You can ask us to:
- tell you what we hold about you (right of access);
- correct anything that's wrong (right to rectification);
- delete it, where we no longer need it (right to erasure);
- limit how we use it while we sort something out (right to restriction);
- provide it in a portable format (right to data portability);
- stop using it where we relied on legitimate interests (right to object).
To exercise any of these rights, email office@englishwillow.co.uk. We aim to respond within one month.
If you think we've handled your information badly, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk. We'd appreciate the chance to put things right first, but you don't have to come to us before going to the ICO.
7. Cookies and tracking
This website does not currently use analytics, advertising, or tracking cookies. The site loads typefaces from Google Fonts and a styling library from a content delivery network; doing so means your IP address is briefly visible to those providers as part of the standard process of loading a web page. No cookies are set by us.
If we add analytics or marketing cookies in future, we'll ask for your consent first and update this notice.
8. Children
This website is not directed at children, and we don't knowingly collect personal information from anyone under 16.
9. Security
We take reasonable technical and organisational steps to keep your information safe. The site is served over HTTPS, and form submissions are transmitted encrypted. No system is perfectly secure, however; please use your judgment about what you share over a contact form.
10. Changes to this notice
We may update this notice from time to time. The "last updated" date at the top of the page tells you when. If the changes are significant, we'll do our best to flag them clearly.
